Terms of Reference (ToR) for Sponsorship Sales Team/Organization
1. Background
Nexus 4 Empowerment & Development (N4ED)
is an Ethiopian civil society organization established in 2016, working with low-income and vulnerable communities to strengthen child and family well-being, promote women’s economic empowerment, and support social empowerment and protection.
N4ED works through community-based initiatives, including the
Integrated Child Development Center
, which provides child health, nutrition, early childhood development, childcare, and related support to children and families in underserved communities.
As part of its community engagement and well-being initiatives, N4ED organizes the
ALIVE Mass Sport Event
, an annual community event that brings people together through fitness, movement, food, kids and family-oriented activities while promoting healthy and conscious living.
Following the successful establishment and opening of the Integrated Child Development Center, the ALIVE Event now provides an opportunity to generate continued support for the Center’s services, particularly children’s meals and other essential early childhood development activities.
The
3rd Annual ALIVE Event
will be held in December 13, 2026, and N4ED is seeking a capable sales team or organization to support the mobilization of event sponsorships and partnerships.
2. Purpose
The purpose of this assignment is to engage a professional sales team or organization to actively identify, approach, and secure sponsorships and in-kind contributions for the
3rd Annual ALIVE Event
.
The selected team or organization will work with N4ED to mobilize support from companies, businesses, institutions, and individuals. Sponsorships will contribute toward covering event-related costs and, importantly, help generate resources to support the ongoing services and children’s meal program of the Integrated Child Development Center.
3. Scope of Work
The selected sales team/organization will:
Use N4ED’s prepared sponsorship package to approach potential sponsors and present the ALIVE Event and available sponsorship opportunities.
Identify, approach, and engage potential sponsors, including corporates, businesses, institutions, and individuals.
Ensure that proposed sponsors, products, and in-kind contributions are consistent with the values and objectives of the ALIVE Event. Sponsorships involving alcohol, tobacco, or products that conflict with the event’s health, nutrition, and conscious-living principles will not be considered.
Mobilize both
cash sponsorships and in-kind contributions
, such as event equipment, refreshments, venue support, printing, fitness equipment, and other relevant services or products.
Develop and maintain professional communication and relationships with potential and confirmed sponsors.
Coordinate with N4ED to ensure that sponsorship opportunities and proposed benefits are aligned with the approved sponsorship packages and are consistent with N4ED’s needs.
Provide regular updates to N4ED on outreach, discussions, and sponsorship progress.
Ensure that confirmed sponsorship commitments are properly documented and communicated to N4ED.
Coordinate with the N4ED event team to support the delivery of agreed sponsor visibility and recognition during the event.
Conduct all sponsorship activities in line with N4ED’s values and the ALIVE Event’s commitment to health, conscious living, and putting the community first.
4. Deliverables
The selected sales team/organization will be expected to provide:
A proposed list of companies, businesses, institutions, and other potential sponsors they intend to approach, for coordination with N4ED and to avoid duplication of outreach.
A regularly updated list of sponsorship prospects and outreach status.
A list of secured sponsors, including relevant contact details and copies of signed agreements, letters of commitment, or other approved documentation.
A sponsorship report summarizing all secured cash and in-kind contributions.
Support in ensuring that sponsors receive the visibility and recognition agreed upon in their respective sponsorship arrangements.
A brief final report summarizing sponsorship activities, outcomes, and key recommendations following the event.
5. Duration
The assignment will commence upon signing of the agreement and continue through the
3rd Annual ALIVE Event and the immediate post-event reporting period
.
The specific start and end dates will be confirmed with the selected sales team/organization.
6. Compensation
Compensation will be discussed and negotiated with shortlisted applicants based on their proposed approach, experience, and scope of engagement.
Applicants are requested to indicate their proposed
payment structure
in their financial proposal.
The final compensation arrangement will be agreed upon and incorporated into the contract with the selected sales team/organization.
7. Reporting and Accountability
The selected sales team/organization will report directly to the
Event Coordinator and N4ED’s Executive Director
.
All sponsorship packages, letters, agreements, and formal commitments must be approved and signed exclusively by the Executive Director of N4ED and bear the official organizational stamp where applicable.
All cash sponsorship funds secured on behalf of N4ED must be deposited directly into the official N4ED bank account provided for this purpose. Sponsorship funds must not be collected, held, or managed through personal or unauthorized accounts.
The sales team/organization must maintain clear documentation of sponsor communication, commitments, and agreed contributions and provide copies to N4ED for official record keeping.
No sponsorship commitment may be made on behalf of N4ED without prior approval from the authorized N4ED representative.
8. Application Process
Interested sales teams or organizations are invited to submit the following:
A. Brief Profile and Relevant Experience
A short organizational/team profile highlighting relevant experience in sponsorship sales, business development, partnership development, fundraising, event sponsorship, or related areas.
B. Approach Proposal
A brief proposal outlining the proposed approach to identifying and securing sponsors, including both cash and in-kind sponsorship opportunities.
C. Financial Proposal
A proposed payment structure, including any relevant terms or conditions.
