Role Description
The Executive Office Manager is a full-time hybrid role based in Addis Ababa, with flexibility for some work-from-home arrangements. This role oversees day-to-day office operations, including managing administrative processes, supervising office staff, and ensuring effective use and maintenance of office equipment and supplies. The Executive Office Manager coordinates internal and external communication, supports leadership with scheduling, documentation, and travel arrangements, and maintains organized records and filing systems. The role also handles customer and stakeholder inquiries, facilitates smooth interaction between departments, and implements office policies and procedures to support operational efficiency in freight forwarding and harbour logistics. The Executive Office Manager is expected to identify process improvements, support compliance with company standards, and contribute to a professional and collaborative office environment.
Qualifications
Strong Communication skills, including clear written and verbal correspondence with internal teams and external stakeholders.
Proficiency in Administrative Assistance and Office Administration, with experience in scheduling, record-keeping, and coordinating executive support tasks.
Ability to operate and manage Office Equipment and related office technology, ensuring reliable day-to-day workflow.
Customer Service skills to address inquiries, resolve issues, and maintain positive relationships with clients and partners.
Relevant experience in logistics, freight forwarding, or harbour operations is an advantage.
Strong organizational and time-management abilities, with attention to detail and follow-through.
Comfort with productivity software (e.g., word processing, spreadsheets, email, and collaboration tools).
Diploma or bachelor’s degree in Business Administration, Management, or a related field preferred.
Ability to work both independently and collaboratively in a hybrid environment, maintaining confidentiality and professionalism.
