Job Description
1.Job PurposeThe Admin Supervisor is responsible for coordinating administrative, documentation, personnel support, and operational activities within the transport function. The position ensures accurate documentation, timely processing of transport records, effective administrative support, and compliance with company procedures.2.Key ResponsibilitiesTransport AdministrationCoordinate and supervise day-to-day transport administrative activities.Ensure all transport documents are properly prepared, checked, filed, and maintained.Maintain accurate records of truck movements, trips, deliveries, and returns.Ensure required vehicle and driver documentation is available and valid.Monitor expiry dates for licenses, permits, insurance, registrations, and other required documents.Coordinate document renewal with relevant departments and authorities.Trip and Documentation ManagementEnsure trip sheets, delivery notes, waybills, fuel records, and related documents are properly completed.Verify transport documents before and after trips.Maintain organized records of completed trips.Ensure signed delivery documents are returned and submitted to the appropriate departments.Coordinate with finance regarding documentation required for billing.Follow up on missing or incomplete documents.Driver and Personnel AdministrationMaintain accurate driver attendance and deployment records.Support the Transport Manager in monitoring driver schedules and leave.Coordinate onboarding documentation for new drivers.Maintain records of licenses, training, medical examinations, and other driver requirements.Coordinate with HR on employee-related administrative matters.Office and Operational SupportSupervise administrative clerks and ensure timely completion of assigned tasks.Manage office supplies and administrative requirements.Maintain proper filing systems, both physical and electronic.Prepare correspondence, reports, and administrative documents.Support meetings, audits, inspections, and operational reviews.Compliance and Documentation ControlEnsure transport documentation complies with company policies and legal requirements.Maintain a document control system for fleet and transport records.Prepare documents for internal and external audits.Ensure confidential employee and operational information is appropriately handled.ReportingPrepare daily, weekly, and monthly administrative reports.Track outstanding documentation and follow up with responsible personnel.Report documentation gaps, expired licenses, and administrative risks to management.Maintain accurate administrative KPIs.3. Qualifications and ExperienceBachelor's degree or diploma in Business Administration, Logistics, Management, or a related field.Minimum 3–5 years of administrative experience, preferably within transportation or logistics.Experience supervising administrative staff is preferred.Strong knowledge of transport documentation and fleet administration.Good knowledge of Microsoft Office, particularly Excel and Word.Experience with transport management systems is an advantage.5.
